Overview

ABSTRACT

We have seen over the years that the process of manual attendance has been carried out across almost all educational institutions. The process is not only time consuming but also sometimes inefficient resulting in the false marking of attendance. Today, we need not maintain pen and paper based attendance registers. Following this thought, we have proposed an attendance marking and calculation system which is implemented on Android mobile application integrating biometric scanner that communicates with the database and verification can be achieved. This Android application will give the students information on attendance and change in timetable if any whereas the biometric scanner is used for verification, authentication and to avoid proxy.

 CHAPTER ONE

1.0                                                        INTRODUCTION

The attendance system is used to monitor the attendance and movement of employees within their working hours and to prepare materials for processing wages.

Using the attendance system will allow you to diminish the number of errors occurring when processing attendance data, better use the working hours by raising the quality of employees’ personal approach to work duties (increase in work morale), and prevent overtime being claimed unjustifiably.

Access modules will help you to restrict people from entering individual company buildings, car parks or to enable the access of authorized personnel to the manufacturing unit, etc.

Many companies out there use an attendance monitoring system to keep track of their employees. If you are not one of them, you are certainly doing yourself a disservice. With the changes to the Fair Labor Standards Act, this device will help you maintain compliance easier.

Attendance monitoring and control system is designed to give a break to managers and human resources. Attendance monitoring and control system is a security device that monitors the real time your employee or student resume work or attend classes. With this device students can interact or check their attendance with their phones applications.

1.1                                         BACKGROUND OF THE PROJECT

In the last decades we have witnessed an enormous increase in the end user acceptance of mobile communications. The appearance of mobile platforms based on the open source software has rapidly increased the interest into mobile applications development. In this paper, we present an approach to the Android mobile phone application development that is based on an open source software and open source development environment. For achieving portability, our aim is to have wireless communication of the biometric scanner with the server.

Development of software should be more real, user friendly, compatible with system and cost effective. The use of software by user must be simple and should not require much training to use software. So we have use the android platform for our project which is open source, scales to every device and it offers a unified approach to application development.

1.2                                                   AIM OF THE PROJECT

The main aim of this work is design a device that is used to detect who is coming in late or leaving early. Time Clock enables you to send warnings and notifications in order to make these bad clock behaviors stop. This device is being developed to provide a reliable, secure, and efficient method of recording attendance.

1.3                                             OBJECTIVE OF THE PROJECT

At the end of this project student involved will be able to know how to use this system to keep track of employees or students. The student will also learn how to maintain compliance at work easier using this device. They ensure that the person can‟t escape in for one another and also preventing the person time theft

1.4                                         SIGNIFICANCE OF THE PROJECT

  1. curacy: Humans are prone to error, even if we provide them with supporting computational devices. Mobile application based attendance monitoring and control system ensures accurate time records and minimizes the inevitable and costly errors with manual data entry. This accurate data thereby helps to provide accurate performance and payroll data.
  2. Economics: Have you ever thought that attendance management systems could control costs? It saves money by putting an end to inaccurate time reporting, buddy punching, absenteeism, tardiness, time abuse, and overpayment. As a matter of fact, a study done by the Axsium Group found that large organizations save higher after implementing Mobile application based attendance monitoring and control system.
  3. Productivity / Efficiency: Monitoring and controlling managing attendance manually can be a time-consuming, laborious, and expensive affair. It takes time to process paper sheets and time cards, create schedules, authorize leave and overtime, and create payroll manually. Free up precious administration time
  4. Acwith an automated system that does it all for you, from keeping track of employee hours to automatically importing information into your payroll system. The time and effort saved combined with data accuracy helps in optimizing the use of resources which lead to increased productivity and improves profits.
  5. Visibility / Insights: Would you need a quick snapshot of all planned and unplanned absences for an employee or group? With just a few clicks, you can generate accurate reports on hours worked, absences, overtime, get a monthly summary report for any of the data/groups within the organization. Any customized report can be generated with the centralized data which improves visibility and transparency within the organization. Managers can also make use of the graphical views of the report to get a quick and easy understanding of attendance data. With a centralized, accurate attendance data hub, employers can strategically analyze and improve policies on leave, hours, workplace culture, performance, pay, etc., thereby enabling them to mature in the way they operate.
  6. Hassle Free Workflow Management: An integrated attendance management system can provide good visibility of all data and can ease the workflow of payrolls, leaves and performance reviews. Notifications/alerts are automated and the manager can approve requests for early departure, overtime, etc., immediately without any specific need for communication. Forget the herculean task of manual scheduling. With just a few clicks, an automated attendance management system can help manage schedules, allocate work, and easily keep track of shift swaps. It can also help you to forecast workloads, resources, and budgets.
  7. Flexibility: In today’s global, well-connected environment, you have employees working from office, from home, or at remote locations. An attendance management system allows organizations to track employee time using a variety of clocking options, such as smartphones, internet networks, swiping technologies, biometric terminals or desktop readers easily.
  8. Integration / Configuration: You can choose attendance management systems to suit your needs based on the nature of work and policies. There are systems available which can be integrated with any third-party attendance hardware (swipe, biometric), and which can capture GPS-based attendance with mobile applications. You can create customized attendance policies as per your organizational needs with time tracking and attendance monitoring systems. You can have individual configurations for each attendance shift, with options to define attendance cycles, mark-in/out rules, leave deductions, and optional holidays.
  9. Real-time tracking: Cloud-based attendance management enables real-time tracking and provides automated inputs for payroll processing. This helps in managing alternative payment schedules and makes all information available in real time. Managers can create “scheduled versus actual” reports to adjust work schedules and direct workforce activities in real time.
  10. Security: Most attendance management systems are built around highly secure systems and architecture. Specifically, biometric systems are highly reliable and secure and can help prevent time theft, buddy punching and reduce administrative costs stemming from forgotten PINs and lost ID cards. These systems are of particular utility to organizations where security is a primary concern.
  11. Compliance: Inaccurate records can cost your organization a lot of money in overtime payment, and can also violate labor laws, resulting in expensive legal defense and fines. Regulations require that employers track attendance and provide the necessary compensation to their employees for any excess hours worked in the spirit of fairness. An attendance management system that integrates with your payroll simplifies this process while making it seamless.

1.5                                              PURPOSE OF THE PROJECT

Conventional attendance entry or manual data entry is used in organization can easily be entered wrongly terms of real time keeping. Staff can resume work by 8.ooam but decide to enter 7:00 am in order to convince the organization that they resumed work in time. Sometimes in school, absentees may ask follow student that present in class to sign attendance for their behalf. However, the purpose of this work is to track attendance by real-time the employee resumed work. This device allows one to make the schedule and sync the time clock times with it.

1.6                                          APPLICATION OF THE PROJECT

This device is used by:

  1. Organization: to track employees’ resumption and closing time.
  2. Schools: to monitor the accurate students’ frequency in school or class.
  3. Business owners: to Set better examples and improve communication by introducing Time Clock to your business. Create new rules for time and attendance and enforce them easily company-wide.

1.7                      PROBLEM AND LIMITATION OF THE PROJECT

While this device has its benefits, it also has drawbacks that contribute to employee turnover and anxiety, the Society for Human Resource Management reported. Productivity can be negatively affected if worker observation becomes too intrusive. The constant fear of being watched and reprimanded for their behavior or work can cause employees stress and hinder efficiency as a result. Increased nervousness and mistrust of their employer leads some workers to quit their position and creates a cycle of heightened worker turnover. And Also, this device is expensive compare to manual data entry.
