Abstract

The secretary plays a very important role in the running of an organization. No matter how skillful and competent secretaries are the effectiveness of their functions largely depend on the availability of office technology. The study was carried out to examine Word-Processing and its impact on the secretary’s performance in some selected organizations. The objective of this study was focused on the impact and relevance of word processing in enhancing secretariats operations, performance and productivity. The population of the study was sampled and one hundred (100) respondents was selected in first banks resident in Lagos State. The instrument used for data collection was questionnaire, it was presented in tabular form. The findings revealed that word processing aids and enhances secretariats performance and productivity. more also, it was revealed that adequate and regular trainings secretaries should be established in both public and private organizations. It was however recommended that both public and private organizations should procure adequate modern office technology/equipment that allows the use of word processing to enhance the productivity of their secretaries and Secretaries who lack adequate knowledge and skill in the usage of modern office technology/equipment such a kind of word processors should be retrained to fit into the current trend of technological advancement for effective performance. finally, secretaries should undergo regular training on the usage of new technological gadgets in order to enhance their skill and keep them abreast with the technological dynamism in the 21st century.

Introduction

1.1 Background of the Study

The introduction of a new curriculum and syllabus for National Diploma in secretarial studies is long overdue because of current treads in information technology. The task of a secretary is beyond typing and using shorthand in order to take fast note. Modern technology such as the use of computers introduced new innovation. The academic in the field of secretarial studies should gear their efforts towards contemporary development in information technology in order to make their products relevant in the modern world. According to encyclopaedia Britannica, it defines word processing as an operator or recorded information, which is transformed into typing or printed form. Word processing can produce a wide variety of documents including letters, memoranda e.t.c very rapidly and at relatively low cost.

In reference to Arewa (200:38) ‘of course, no course, no one will quarrel with the fact that dictating machines have a definite place in the business office indications are that more and more machines will be used, but to say that they will replace the secretary is to ignore the fact’ Secretaries should be versatile in the user of computer packages that are relevant to their chosen profession so that they can follow the current technological developments. Word processing is a computer machine, which allows individual to work with letters, word packages and documents it is not just an advance typewriter, it can transfer ideals into readable form of communication through the management of procedures equipment and personnel.

According to Olaleye C.E. (2003:7) A secretary is an executives assistant who possess a mystery of office skills demonstrates the ability to assume skills responsibility without direction or supervision, exercises initiative and judgement and making decision within the scope of assigned authority’. From the foregoing definition, one will agree that a secretary is an executive assistant who should be able to work with less supervision. Based on this premises, it can be argued that today’s secretaries should be taught current developments in information technology.

1.2 Statement of the Problem

The contribution of Word Processing to a secretary and the overall advancement of secretarial practice cannot be over emphasized. Hence, to build a solid and effective foundation of Word Processing in secretarial practice is very essential. It is therefore, pertinent to critically examine, and how it is applicable in secretarial practice.

1.3 Objective of the Problem

The purpose of this study is to ascertain if word processing has a favorable impact on secretariat responsibilities and to know how Word Processing inevitably heads to some alterations and adjustments. Also, this study aims at finding out whether word processing actually improves secretaries’ performance. Lastly, the examine if the training received at schools by secretaries is adequate to enable them perform duties using word processing applications.

1.4 Research Questions

Does word processing aid secretary in performing her duties?

Are there orientations and training acquired by the secretaries to enable them use word processing packages efficiently and effectively?

Do secretaries derive job satisfaction from the use of word processing software?

Does the use of word processing software enhance the secretary’s job output?

 

1.5 Significance of the Study

There is no doubt that a study of this nature will yield positive and significant contribution.

Firstly, it will help to identify the need and benefits of performing tasks through the use word processing by secretary to improve competency.

Secondly, it will help to identify the need for proper orientation and adequate training development and exposure that is required by a secretary

Thirdly, it will assist in unveiling benefits of using word processing and its relevance in the enhancement of secretaries’ job output.

Finally, findings of this study will add to existing management literature.

1.6 Scope / Delimitation of the Study

The scope of this study is very wide if it has to be carried out in all first banks in Nigeria. The study is delimited, based on the fact that there are not time and material resources to see to the whole Nation. This is delimited to Lagos State only and the findings may not reflect the situation in the whole country. These findings may not be valid for the whole of First bank in Nigeria, but bye and large, what happens in First Bank in Lagos State Can be side to apply to in other parts of the country.

1.7 Definition of Terms

Secretary

It can be defined as a person employed in an office, usually working for another person, dealing with letters, typing, keeping records, etc and making appointment and arrangement. A secretary is an executive assistant who possesses a mastery of office skills, who demonstrates the ability to assume responsibilities without direct supervision, who exercises initiative and judgment and who makes decision within the scope of assigned authority.

Competency

It means possessing the required knowledge, skills and ability to perform a task adequately. It is a grade or rank denoting a stage of expertness and skillfulness.

Business

It is the activity of making, buying, selling or supplying things for money, commerce and trade. Business as against leisure is any productive activities geared towards making a profit or any productive activity aimed at making profit.

Establishment

The action of creating or founding something on a firm or permanent basis. Also it is a group of powerful people won influence or control policies, ideas, taste, etc. and usually support what has been traditionally accepted.

Organisation

An organization is a group of people who gathered together in order to achieve a specific goal.

Proficiency

This means being able to do something in a skilled or an expert way because of training and practice. It is the state of being well versed and adept. It is proficiency that gives dimension to the concept of competence. It simply means the incite of accomplishment. This measure indicates the extent to which given sets of skills, abilities, knowledge, capability, attitude and values have been acquired.

Word Processor

A word processor is a device or computer program that provides for input, editing, formatting and output of text often with additional features.
