Skills And Competencies That Enable Individual To Function In Office Administration Occupation On The New Normal

Abstract

This study was carried out on skills and competencies that enable individual to function in office administration occupation on the new normal. The survey design was adopted and the simple random sampling techniques were employed in this study. The population size comprised of O.T.M students in some selected polytechnics in Imo State. In determining the sample size, the researcher conveniently selected 160 respondents and 141 were validated. Self-constructed and validated questionnaire was used for data collection. The collected and validated questionnaires were analyzed using frequency tables, and mean score tables. While the hypotheses were tested using chi-square statistical tool. The result of the findings reveals that the use of technology enables individuals to function in office administration occupation on the new normal. The study also revealed that the skills and competencies that enable individuals to function in office administration occupation on the new normal include; computer literacy skills, communication skills, management/supervisory office skills, human/Interpersonal office skills, and bookkeeping/Accounting office work skills. Therefore, it is recommended that the curriculum used for the training of OTM students should be reviewed to in cooperate modern technologies found in offices. The ministry of Education and the National Commission for Colleges of Education may use the findings of this research to organize seminars, conferences and workshops for retaining of teachers in office education field.

Chapter One

Introduction

1.1 Background of the Study

In the era of globalisation in the 21st century, needed qualified human resources in the face of competition. Education is one way that can be to create quality human resources. Qualified human resources will be able to improve the quality of a country. The development of Science and Technology which increasing rapidly is considered influential in various aspects, one of which is the aspect of educators. Technology makes a positive impact. With the existence of technology, education can take advantage of technology in the learning process in the classroom. Akyuz & Yavuz, 2015; Gan, Menkhoff, & Smith, 2015; All, Nuñez Castellar, & Van Looy, 2016)
Sophistication in science and technology allows every human to obtain information quickly, easily and abundantly from various sources. Thus students need to have the ability to acquire, select, manage, and utilise information to cope with ever-changing, competitive and uncertain circumstances. The development of information technology is now running very rapidly, the utilisation of information technology has been done in various fields.

One area that has been utilising information technology is the service of office administration. Archive management is one of the activities undertaken within the administrative services of offices in various organisations. In practice, there are various problems one of them problems of conventional archive management is still common. The archive management solution today is with the use of information technology to manage archives electronically. Efficiency and effectiveness in the management of office archive will be realized if done electronically through an electronic filing system (Electronic Filing System).

Technological developments so rapidly lately, on the one hand, have a positive impact on the smoothness and ease for humans in carrying out various activities, but on the other hand, these developments also have an impact especially in the field of archives that need to be anticipated. Developments in the archives are felt very slowly when associated with technological developments that directly or indirectly produce archives that tend to change. For that archiving managers should always be responsive and follow these developments and as much as possible in order to be used for archival activities.

The process of technological development will continue to run as if impossible to overtake; the technology will continue to move forward with products that are always up to date with the generation changes from time to time. The impact of such changes is so significant that out-of-date products are out of sync with the latest products, as each new product is confirmed to have other specifications. Archives management in various agencies, especially in schools for learning activities and service is still commonly found by using a system that has been out of date conventional. Over time with the development of Information Technology and Komunikas (TIK) is up to date it is time for management and learning archived schools designed with computer-based or file. The management of archives based on Information and Communication Technology will simplify and also save time in work and learning.

1.2 Statement of the Problem

Technology has brought a lot of change in the globe today and one of the major problems facing duties in today’s office the increasing cost of securing required modern office equipment that could aid then to perform on their duties more effectively efficiently and be result oriented it is also factual that most of the office administrators find it difficult to be dynamic in skill acquisition and new knowledge to handle these fast changing equipment.

The cost of training and retraining of staff is on the increase in both public and private sector. Another problematic issue which the researcher intends findings out is the effects which these modern equipment have created on staff duties. Sometime, the organization finds it difficult to procure some of these machines as result of easy damage or lack of availability of spare parts to put them in order, more so, inadequate finding of some establishment make it difficult for such organization to operate it difficult, for such organization not operate under the use of modern office equipment in the office there by making the staff duties to be seen irrelevant.

1.3 Objectives of the Study

The main aim of this study is to examine skills and competencies that enable individual to function in office administration occupation on the new normal. Other aims of this study are:

To determine whether the use of technology enables individuals to function in office administration occupation on the new normal,

To identify the skills and competencies that enable individual to function in office administration occupation on the new normal

To examine the effects of these skills and competencies in office administration occupation.

 

1.4 Research Questions

The following research questions will be answered in this study;

Does the use of technology enable individuals to function in office administration occupation on the new normal?

What are the skills and competencies that enable individuals to function in office administration occupation on the new normal?

Does the possession of these skills and competencies promote effective office administration?

 

1.5 Research Hypotheses

The following hypotheses will validate this study;

H0: The use of technology does not enable individuals to function effectively in office administration occupation on the new normal.

Ha: The use of technology does enable individuals to function effectively in office administration occupation on the new normal.

1.6 Significance of the Study

A study like this will not only be of great advantage to students and office administrators but to institutions to identify the impact of modern skills and competencies used in training prospective staff. This study is beneficial to the government establishment because they can take sound decision from information gathered from work. The information’s obtained will help update curriculum, increase there ego.

This study will also enable student acquires the skill to operate those equipment with the help of these study, institutions will now find way to remedy the problems of modern office equipment either with business organization involve in the use of modern office equipment.

Finally, the result of this research work therefore, will establish the fact if office administrators are given the chance to make use of this modern office equipment this will greatly increase the productivity of the staff achievement in an organization.

1.7 Scope of the Study

This study focuses on skills and competencies that enable individual to function in office administration occupation on the new normal. Specifically, this study focuses on determining whether the use of technology enables individuals to function in office administration occupation on the new normal, identifying the skills and competencies that enable individual to function in office administration occupation on the new normal and examining the effects of these skills and competencies in office administration occupation. The study will be delimited some selected polytechnics in Imo state.

1.8 Limitations of the Study

In the course of carrying out this study, the researcher experienced some constraints, which included time constraints, financial constraints, language barriers, and the attitude of the respondents. However, the researcher were able to manage these just to ensure the success of this study.

Moreover, the case study method utilized in the study posed some challenges to the investigator including the possibility of biases and poor judgment of issues. However, the investigator relied on respect for the general principles of procedures, justice, fairness, objectivity in observation and recording, and weighing of evidence to overcome the challenges.

1.9 Definition of Terms

Skills Acquisition:

Skill acquisition is the art of learning to do something in order to earn a living and or to survive.

1.10 Organization of the Studies

The study is categorized into five chapters. The first chapter presents the background of the study, statement of the problem, objective of the study, research questions and hypothesis, the significance of the study, scope/limitations of the study, and definition of terms. The chapter two covers the review of literature with emphasis on conceptual framework, theoretical framework, and empirical review. Likewise, the chapter three which is the research methodology, specifically covers the research design, population of the study, sample size determination, sample size, and selection technique and procedure, research instrument and administration, method of data collection, method of data analysis, validity and reliability of the study, and ethical consideration. The second to last chapter being the chapter four presents the data presentation and analysis, while the last chapter(chapter five) contains the summary, conclusion and recommendation.
